New and Important Information for 2025
- PPE (Personal Protective Equipment)
- It is compulsory for all personnel accessing the halls during build-up and dismantle to wear the following:
- Accredited safety footwear. These must be steel toe capped boots
- High Visibility Jackets/vests
- Hard Hats. These must be worn when the ceiling red light is on in the halls
- Please note that with the exception of a hard hat the above also applies to all exhibitors coming on site on Monday, 7 April 2025. The RAI have a shop on site to hire these items.

- Exhibition Timetable – Provides information of the build up, show open and breakdown dates and times.
- Badges & Passes
- in-cosmetics Global is pre-registration only. All attendees need to pre-register online prior to arrival and download their badges from the exhibitor portal.
- All stand personnel required on the stand during the event days, including stand-by contractors, catering, and hostess staff must be allocated a badge through the exhibitor portal and will come out of the exhibitor badge allocation.
- Everyone on site during build and dismantle need to apply for a Amsterdam RAI ‘Setup and breakdown badge’. Click here to apply.
- Logistics, Lifting & Delivery
- We recommend using our Official Logistics provider for all of your delivery, lifting, and storage needs.
- Consider taking advantage of advance warehousing to avoid delays on site.
- Consider methods to reduce the frequency of deliveries.
- Encourage drivers to stay in their vehicles where this does not compromise their safety and existing safe working practices.
- It is essential that all material and freight is kept within the build area and not in the aisles/foyers etc. Build materials/furniture/AV and freight may need to be scheduled for different arrival times.
- Only DB Schenker is permitted to use forklifts and other lifting equipment in the hall and the loading areas around the venue.
- Vehicle Access - All exhibitors and contractors who need to access the venue loading areas with a vehicle during build-up and breakdown must pre-book a time slot on the RAI Logistics Management System (RLMS). Anyone turning up onsite having not booked in will be turned away. The online traffic booking system will be available about 4 weeks before the show and an email will be sent to let you know.'

- Space Only & Stand Build Submissions
- The Space-only stand plan deadline is 23 January 2025.
- The stand plan checking process is managed by the Ops Squad Stand Plan Team. See Stand Build Submissions for detailed information on what documents are required and details on the new online system to submit your stand plan documents.
- IMPORTANT - if you have a suspended structure Ops Squad are checking that the structure conforms to the Stand Build Regulations. The exhibitor/stand contractor is still responsible for liasing with the venue rigging department to ensure the feasibility of the structure.
- All space only stands must submit a waste management plan as part of their submission.
- Stand Build Regulations – This section contains information about the rules and regulations for designing your stand and participating in the event. Due to a change in venue, there are several important changes for 2025, so please ensure you have read this section in detail before finalising your stand design.
- Construction Material - It is really important to review the materials being used to construct stands.
- Chipboard, particleboard and low-density fibreboard (LDF) is not suitable for construction and in particular of weight bearing structures. The H&S Manager and Structural Engineer will identify stands which do not comply during the build process and all necessary remedial work must be completed before the stand will be permitted to open
- Stands should be pre fabricated in a workshop prior to build
- MDF and chipboard must not be machined on site
- Consider sustainable stand build materials that can be reused
- Reduce the amount of bespoke build
- Bringing piles of wooden panels onsite to cut is not acceptable and will not be tolerated
- Construction Material - It is really important to review the materials being used to construct stands.
- Complex Structures & Rigging
- All stands with a suspended structure and anyone building over 4m in height must:
- Submit full technical drawings.
- Submit structural calculations.
- Provide details of fixings and weights for all suspended structures.
- Ensure that you have read and abide by the venue rigging regulations
- Ensure you have checked any build height restrictions with the incos Operations team and any rigging restrictions with RAI rigging department
- This information will be sent to an independent structural engineer for pre-show checking and an onsite inspection.

- All stands with a suspended structure and anyone building over 4m in height must:
- Platforms
- Every stand with a Platform over 20mm in height must incorporate a ramp. Portable ramps are not permitted.
- Any raised areas over 120mm and above in height are not permitted.
- Any raised areas that require more than 1 stepped access are not permitted.
- Pillars - Some stands have venue pillars that will impact your stand design. It is the responsibility of the exhibitor and contractor to contact the Operations team to check if their stand is impacted and request a stand plot to show the exact location and dimensions of the pillar.
- Maximum Build Height
- There are some build height restrictions due to lowered venue ceiling in some areas. Please check with the Operations team if your stand is impacted.
- The maximum build height for dividing back walls is 4m from the venue floor.
- Electrical mains boxes - Every stand will contain a mains box. The size of this box will depend on how much power is ordered and therefore we recommend that you contact the electrical Contractor, Full Circle Events, for further information. Electrical Mains will not be switched on until 08:00hrs on Monday 7 April 2025, and therefore if you require power for build-up and breakdown then you must order this separately through Full Circle Events.
- Your Tasks & Order Deadlines - Please pay extra attention to where deadlines may now be earlier than in previous years.
- Venue & General Information – Detailed information on the venue including the address and other specific details you may find useful.
- Exhibitor Catering
- All food and drink must be ordered through the venue’s official caterers.
- If you are planning a drinks event on your stand please ensure that it takes place within show open hours, that you have sufficient space on your stand, and that it does not spill out onto the aisles.

Be vigilant – this data is likely fraudulent. If you receive any such unsolicited offers, please do not respond unless you have checked with us first.

Strict Reminders During Build Up
Friday 4 April 2025
- Everyone accessing the site on this day will be required to wear high visibility jacket, steel toe capped footwear and carry a safety helmet.
- All vehicles arriving this day must book off loading with DB Schenker.
- No self off loads are permitted on this day. You must book lifting assistance through DB Schenker. Your time slot will be provided by DB Schenker upon booking off loading and is based on first come-first served.
- Anyone arriving onsite who have not booked early access or off loading with DB Schenker will not be permitted access.
- We are unable to guarantee that venue services e.g. electrical mains, rigging points, mains water etc. will be installed prior to your arrival on this day.

- All stand-fitting & construction must be completed by 2200hrs on Sunday 6 April 2025. Only stand dressing should take place on Monday 7 April 2025.

- Everyone accessing the site on this day will be required to wear high visibility jacket and steel toe capped footwear, this includes exhibitors.
- Stand Power will be turned on at 08:00 hours
- Only Stand dressing should take place on this day.
- Aisle carpet will begin being laid from at 1500hrs so all aisles must be clear of debris and pallets & crates should be removed from the hall by this time.

Halls must be clear of exhibitors, stand contractors and stand fittings including waste material by 1200hrs on Saturday 12 April 2025. Exhibitors will be charged for any carpet tape or stand construction materials left by their contractors.
*If you are working onsite during the build up and dismantle periods you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high visibility vest, steel toe capped footwear and carrying a safety helmet that must be worn when the red light in venue ceiling is on.

Exhibitor Personnel Badges
For security reasons, every member of your stand staff must present an Exhibitor badge in order to gain admission to the hall.
This provides access to the show during build-up and dismantle times as well as the open period. It is requested that exhibitors have access to their badges at all times during the event. Exhibitor Personnel Badges can be ordered online through the Exhibitor Portal.
It is the responsibility of the Main Stand Holder to order and registers badges for each person who will be working on the stand during the show as Exhibitor Badges are non-transferable. This includes standing contractors, AV technicians, hostesses, cleaning staff etc.

Exhibitors will be able to access the halls from 08:00 on Monday 7 April. Please make sure you have your exhibitor badge ready (either printed or on your phone).
Please note: access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE; see the Site Rules for further details.

Maintenance Badges
Under no circumstances will maintenance work be permitted on stands during the exhibition open hours.
If at any time during the exhibition open days you need to carry out maintenance work on your stand after the exhibition has closed, please apply to the organisers by 14:00 hrs on the same day.
Charges may be incurred by the exhibitor to cover additional costs for staff and venue services.
Dutch Labour Laws
During build-up, open period and breakdown, the exhibition halls and surrounding areas are considered as workplaces. As such, any person – independent of their role, nationality and the duration of their presence on site – is subject to Dutch Labour Laws
Exhibitors are responsible for their suppliers: stand builds and decorators, employees, as well as any person providing a performance on stands (musicians, dancers, hostesses, etc.) Any person whose services you rely on (decorators, stand builders etc.) must have a contractual relationship with your company and must abide by Dutch Labour Laws.
Sustainability
in-Cosmetics Global 2025 is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers, and contractors to reduce the impact our activities have on the environment.
RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.
With the charter in mind, we have created an Exhibitor Sustainability Checklist which you can utilise in the planning of your participation at in-Cosmetics Global 2025.
