New and Important Information for 2023
Below you will find a summary of key changes for 2023 that will impact you as an Exhibitor or Contractor but please make sure to read the whole manual for full details. The manual provides both recommendations and mandatory rules.
- Exhibition Timetable – Provides information of the build up, show open and breakdown dates and times.
- Badges & Passes - Information on how to order and collect your badges and passes for onsite. Please note all contractors must now register in advance/collect from venue and confirm that you don't have any symptoms/fit to work.
- Sustainability - Our new Exhibitor Environmental Checklist is now available and has useful tips to lower your environmental footprint whilst you are exhibiting with us. If you want to make your event participation more sustainable please order recycling bins directly from Servifra - Fira Store (firabarcelona.com)
- Logistics, Lifting & Delivery - Information regarding delivery dates and contact details for the venue.
- We recommend using our Official Logistics provider for all of your delivery, lifting and storage needs.
- Consider taking advantage of advance warehousing to avoid delays on site.
- Consider methods to reduce frequency of deliveries.
- Encourage drivers to stay in their vehicles where this does not compromise their safety and existing safe working practice.
- If you are shipping from the UK please keep in mind changes following Brexit.
- It is essential that all material and freight is kept within the build area and not in the aisles/foyers etc. Build materials/furniture/AV and freight may need to be scheduled for different arrival times.
- Only DB Schenker are permitted to use forklifts and other lifting equipment in the hall and the loading areas around Pavilion 1.
- Vehicle Access
- All vehicles arriving at the venue to unload/reload must pay an access fee. Further details can be found in the Stand Build Regulations and General and Venue Information. IMPORTANT – This access fee also applies to Courier companies.

- Space Only & Stand Build Submissions -
- The Space only stand plan deadline is 12 January 2023.
- Our stand plan checking process has changed and we are now partnering with Ops Squad Stand Plan Team to complete our stand plan checks for incosmetics Global 2023 See Stand Build Submissions.
- Stand Build Regulations – This section contains information about the rules and regulations for designing your stand and participating at the event. There are several important changes for 2023, some of which are mentioned below:
- Maximum Build Height
- The maximum build height is still 6m from the venue floor. However there are some stands where the maximum build height is 5m. This includes stands under the walkway in aisles S & T. Please contact the Operations team to check if your stand is affected.
- The maximum build height for dividing back walls is 4m from the venue floor
- Complex Structures
- All stands over 4m high from the venue floor are classed as complex and therefore required to submit the following additional documents:
- Structural calculations in English
- Structural Drawings in English
- These are then checked by an independent structural engineer.

- Rigging
- There are strict venue regulations in place which include that all suspended materials must be securely attached at a European Union-approved structure. This also includes any structures that are also floor supported. Please ensure that you read the rigging section carefully.
- There are also areas of the show where rigging is not permitted. This includes on stands under the walkway in aisles S & T. Please contact the Operations team to check if your stand is affected.
- For those where rigging is permitted we would also like to remind you of the following:
- Rigging is permitted at in-cosmetics global to the maximum height of 6m from the venue floor to the top of the rigged structure/banner/truss etc. However, please note the following:
- Height restrictions may apply on some stands.
- Before you plan for any rigged structures please discuss your requirements with Servifira Rigging Department to check on any restrictions and view a copy of the rigging regulations.
- If any rigged structures are higher than your dividing back walls the following must be adhered to:
- Structures with no branding facing the dividing wall must be stepped in at least 0.5m from the dividing wall.
- Structure with branding facing the dividing wall must be stepped in at least 1m from the dividing wall.

- It is really important that you read and share this information with anyone designing and building a stand. It explains about the service chests, recommended platform height, electrical regulations, electrics for suspended structures and why you must meet the electrical deadline to avoid having to order any electrics onsite which could have the risk of not being installed in time for show open.
- We strongly recommend that all space only stands have a platform. The services at Fira are not on continuous ducts and the service duct on any stand may service more than one stand.
- Mains Water Supply - It is the contractors and exhibitors responsibility to check the location of all service ducts and rigging points before designing your stand. Any stands who do not have a service duct will be unable to order a mains water supply.
- Platforms - if you have a service chest on your stand then additional cables for a neighbouring stand might be pulled from this service chest. We therefore recommend that you plan for a platform at least 100mm high to allow the cables to pass easily under your stand.
- The height of the any stand platform must not be greater than 18cm from the hall floor.
- An access hatch must be incorporated into the platform floor to allow easy access to the service chest at all times.
- We do not recommend that you have a platform 500mm or over in height. If you must then the following venue regulations apply:
- All stands with a floor, structure, staircase or surface where or under which people stand that are over 50cm high must present a construction certificate ("Certificado de Asume") signed by the competent engineer. This certificate of construction can only be handed out by an architect or engineer, who is a member of the Architectural Association Barcelona (Colegio de Arquitectos de Barcelona), or can be requested with costs at the Fira.
- The following documents are requested by the Fira for the certificate of construction:
- List of the used building materials giving indication of their characteristics.
- Scaled construction drawings including masses and relative elevations.
- Static computation of the construction.
- Pillars - Some stands have venue pillars either on the stand or directly in front. It is the responsibility of the exhibitor and contractor to contact the Operations team to check if their stand is impacted and request a stand plot to show the exact location and dimensions of the pillar. Some of these pillars have fire points which are not permitted to be covered. If you have a pillar in front of your stand please note that you are not permitted to clad or attach any items to this.

- If you want to delegate the contracting of your booth services to your assembly company, they can use the same Fira Store link and manage invoices and payments on their own. Be sure to provide your assembly company with all the information regarding your stand; technical data sheet, architectural elements of the pavilion, access to supplies (ducts), construction standards, regulations.

- Removal of empties on (Monday) 27 March 2023
- To help ensure that the aisle carpet can be laid on time and the cleaning team have sufficient time to ensure that the show is cleaned and ready for show open, any items left in the aisles after this time will be removed by DB Schenker and a 100% surcharge will apply to the storage cost (as set out in Schenker Tariff) for the removal and storage of these items. Everyone working onsite must be made aware of this procedure.
- PPE (Personal Protective Equipment)
- It is compulsory that for all personnel accessing the halls during build up and breakdown that sensible footwear and High Visibility Jackets and safety footwear are worn. If you arrive without this you will not be able to access the halls.
- Please note that the above applies to Monday 27 March 2023 as well so if you are an exhibitor and coming onsite on this day you must be wearing a high visibility jacket and sensible footwear. Open toed shoes will not be allowed.
- Maximum Build Height
- Health & Safety - Please ensure you read this section so that you understand all of the risks and safety procedures involved in anything you plan to do onsite.
- Venue & General Information – Detailed information on the venue including the address and other specific details you may find useful. The venue has made some changes to operational measures in order to provide a safe environment for everyone. Please click here to see these measures.
- Cleaning
- You should consider enhanced and visible cleaning regimes throughout the event to complement the venues additional measures eg hiring a dedicated stand cleaner for open days. For full details on the cleaning packages available, please click here.

- All food and drink to be served on your stand must be ordered through the venue’s official caterers, Gastrofira.
- Hospitality, stand catering and retail services will be provided in line with latest government guidance.

Strict Reminders During Build Up
Friday 24 March 2023
- Everyone accessing the site on this day will be required to wear high visibility jacket and appropriate safety footwear.
- All vehicles arriving this day must book off loading with DB Schenker.
- No self off loads are permitted on this day. You must book lifting assistance through DB Schenker. Your time slot will be provided by DB Schenker upon booking off loading and is based on first come-first served.
- Anyone arriving onsite who have not booked early access or off loading with DB Schenker will not be permitted access.
- We are unable to guarantee that venue services e.g. electrical mains, rigging points, mains water etc. will be installed prior to your arrival on this day.

Halls must be clear of exhibitors, stand contractors and stand fittings including waste material by 1200hrs on Saturday 1 April 2023. Exhibitors will be charged for any carpet tape or stand construction materials left by their contractors.
*If you are working onsite during the build up and breakdown periods you will be expected to wear appropriate Personal Protective Equipment. You will be checked by security as you enter the venue to ensure you have a high viability vest and suitable footwear (no opened toed shoes or heels).
Badges & Passes
Exhibitor Personnel Badges
For security reasons every member of your stand staff must present an Exhibitor badge in order to gain admission to the hall.
This provides access to the show during build up and breakdown times as well as the open period. It is requested that exhibitors have access to their badges at all times during the event. Exhibitor Personnel Badges can be ordered online through the Exhibitor Portal.
It is the responsibility of the Main Stand Holder to order and register badges for each person that will be working on the stand during the show as Exhibitor Badges are non-transferrable. This includes stand contractors, AV technicians, hostesses, cleaning staff etc.
Exhibitor Personnel Badges - Build Up Only
Exhibitors will be able to access the halls from 08:00 on Monday 27 March. Please make sure you have your exhibitor badge ready (either printed or on your phone).
Please note: access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE and completing the COVID-19 status checks; see the Site Rules here for further detail.

Before arriving onsite please ensure that you and your team have received, read and understood the site rules - a copy can be downloaded here.
At in-cosmetics Global 2023 we require all contractors who are coming onsite for build or breakdown to register their details and complete the Contractor Registration before they will be allowed into the exhibition halls. You will receive an e-badge once you have completed the process which you will need to use as access into the halls for build and breakdown each day.
Contractor Registration is now live and every contractor coming onsite for build or breakdown should follow the instructions to register themselves and complete the registration before arriving onsite. Please share this information with all contractors coming onsite for build and break down.

Please note:
• Contractor e-badges are NOT valid to gain entry to the exhibition halls during the show-open period.
• Access to the venue during build-up and break-down periods is subject to persons wearing appropriate PPE. See the Site Rules for further detail.
Maintenance Badges
Under no circumstances will maintenance work be permitted on stands during the exhibition open hours.
If at any time during the exhibition open days you need to carry out maintenance work on your stand after the exhibition has closed please apply to the organisers by 14:00 hrs on the same day. Charges may be incurred by the exhibitor to cover additional costs for staff and venue services.
Sustainability
in-cosmetics global 2023 is committed to promoting sustainability in exhibitions and we continually work with venues, suppliers and contractors to reduce the impact our activities have on the environment.
RX has signed up to the Net Zero Carbon Events pledge with the aim of achieving zero emissions by 2040. To help us reach our goal we have produced a sustainability charter, guided by the UN Sustainable Development Goals which will direct our considerations as to the ways in which our events are organised.
With the charter in mind we have created an Exhibitor Sustainability Checklist which you can utilise in the planning of your participation at in-cosmetics global 2023.
